PlayoutONE Remote Voice Tracking Manual – For Radio Stations

BACKGROUND NOTES
PlayoutONE RVT is a free application and comes as part of the PlayoutONE suite of programs; however, it does have some license restrictions.

 
License
The only difference between standard and professional versions of the software is that standard versions do not allow the option of Automatic Checking. Automatic Checking means the software will automatically send and receive audio and playlists between the Radio Station and the Remote DJ.
When the software is unlicensed, users will need to click the ‘Run’ button each time to send and receive audio and playlists.

 

Dropbox

PlayoutONE RVT uses Dropbox to transfer the files between the radio station and the remote DJ. Other syncing products can be used; however, PlayoutONE RVT has only had extensive testing with Dropbox.
We recommend that the radio station sets up the Dropbox folders required and shares the folders with the remote DJ. This means the radio station can grant and revoke access easily.

 

Setting up Dropbox for Radio Stations

Setting up Dropbox by the radio station is relatively easy and free! To begin create a folder in the main Dropbox folder called P1RVT-XXX (Replace XXX with the remote DJs name).

Once this folder has been created, create two subfolders within the P1RVT-XXX folder and name them AUDIO & PLAYLISTS respectively.

You can then share the P1RVT-XXX folder with your remote DJ via the Dropbox web interface.

In the images below, we have illustrated how the folders are required to be setup.

SETUP FOR RADIO STATIONS

With Dropbox installed, it is now time to run the software.

PlayoutONE RVT is designed to serve only one remote DJ. If you have more than one remote DJ then you will need to setup multiple P1RVT-XXX folders in Dropbox for each DJ.

 

 

VT Prefix

For each remote DJ, a VT Prefix needs assigning.

The VT Prefix ensures that when the remote DJ sends back audio, they only send back audio where the ID begins with the VT Prefix. This ensures the radio station only receives voice tracks back into your system.

It also means that all ID numbers remain unique throughout the whole system. If you were to give the same VT Prefix to two remote DJs then they could both record into the same voice track ID, causing a clash.

It’s also worth noting here that once a VT Prefix has been assigned – it cannot be reused – unless all audio is deleted where the ID begins with the VT Prefix in the radio station database and remote DJ database.

 

 

Multiple Copies

Because PlayoutONE RVT is designed to serve one remote DJ at a t time, you will need to run multiple copies of the software to serve more than one DJ.

To do this, create a new shortcut on the desktop to the software.

This can be done by copying and pasting the existing shortcut. Rename it to something sensible and right click choosing properties. Then add the following switch to the end of the target box:

/profile:XXX

Substitute the XXX for a unique name

Running the Software

Upon running the software for the first time, you will need to enter a few settings. Click the ‘Settings’ button from the main page and go to the ‘Radio Station Settings’ tab.

Follow these steps:

  1. Select your PlayoutONE Database.
  2. Select the AUDIO folder within your P1RVT-XXX folder
  3. Select the PLAYLISTS folder within your P1RVT-XXX folder
  4. Enter the VT Prefix
  5. Enter the Playlist Prefix. This setting is not usually need and should be left blank.
  6. Tick the ‘Receive New VTS’ and ‘Receive New Playlists’ boxes
  7. Click the ‘Sync New VTS from Today’ and ‘Sync New Playlists from Today’ buttons.
  8. Leave the ‘Don’t Unpack Zip Files’ box unticked
  9. Click ‘Save & Close

You should then see that the Receive section is enabled and the Send section is disabled.

Finally if you have a professional version of the software tick the ‘Automatic Run’ box.

Licensed versions of the software can then be minimized. Standard users will need to repeatedly click ‘Manual Run’ to process remote voice track jobs and receive audio

This can be done as many times as you wish and status messages will be shown within the log file if any requests or audio have been processed.

PLAYOUTONE AUTO IMPORTER

Once PlayoutONE RVT receives the audio files from the Remote DJ / Radio Station, it copies the audio to the Import Folder for Auto Importer to import.

Auto Importer will detect the Meta data from the files and import it into your PlayoutONE system.

Without Auto Importer running the files will not be transferred to your PlayoutONE system.

Auto Importer is another free software package as part of the PlayoutONE suite of products and has no license restrictions. Run Auto Importer and make sure the following are set:

  • Data Folder – Set to your PlayoutONE data folder (Usually C:\PlayoutONE\Data)
  • Path To Check – Set to your PlayoutONE import folder (Usually C:\PlayoutONE\Import)
  • Always Auto ID – Unticked
  • If Filename is larger than 10 characters then AutoID… – Unticked
  • Normalise – Unticked
  • Find Extro – Ticked
  • Find Silence – Ticked

The thresholds can be set to personal taste. We recommend the values shown below.

SETUP FOR REMOTE DJ’S

As we explained in the background notes section of this manual, PlayoutONE RVT requires Dropbox or an equivalent file-syncing program.

It’s down to the radio station to provide you access to the shared folder they have setup especially for you which will contain two sub folders (Audio & Playlists). If you don’t have access to this folder then please contact your radio station.

 

Running the Software

When you first open the software you will need to enter your license details. If you haven’t purchased a license then click close.

Professional users are allowed to run the ‘Automatic Check’ feature, which transfers and receives all audio and playlists automatically. Standard users have to click the ‘Run’ button every time they wish to receive audio or send audio.

Once the software has opened, click the ‘Settings’ button.

Follow these steps:

  1. Select your PlayoutONE Database.
  2. Select the AUDIO folder within your P1RVT-XXX folder shared to you by the Radio Station
  3. Select the PLAYLISTS folder within your P1RVT-XXX folder shared to you by the Radio Station.
  4. Enter the VT Prefix provided to you by the Radio Station
  5. Enter the Playlist Prefix. This setting is not usually needed and should be left blank.
  6. Tick the ‘Send New VTS’ and ‘Send New Playlists’ boxes.
  7. Click the ‘Sync New VTS from Today’ and ‘Sync New Playlists from Today’ buttons.
  8. Click ‘Save & Close’.

You should then see that the send section is enabled and the receive section is disabled.

RVT - DJ VIEW

Finally if you have a professional version of the software tick the ‘Automatic Run’ box.

Professional users can then minimize the software.

Standard users will need to repeatedly click the ‘Run’ button to process remote voice track jobs and send audio.

This can be clicked as frequent as you wish, and status messages will be shown within the log file if any requests or audio have been processed

 

 

Requesting a Remote Playlist

Open PlayoutONE and click the ‘RVT icon’ in the top right hand corner (next to the settings cog)

The RVT window will then open.

From here you can select an available playlist from either a date / time or custom name. Double click the hour or the custom name and then when ready to request the playlist click the ‘Request Playlist’ button.

You can then close this window.

If you have a professional copy of PlayoutONE RVT then this will happen automatically.

Standard users will need to press the ‘Run’ button after around 10 minutes to check.

 

Voice Tracking the Remote Playlist

When PlayoutONE detects the playlist is available to voice track, the RVT Icon will flash.

Click the icon to show the RVT window. You can then select the available playlist from the ‘Playlist Ready’ section, and click the ‘Open Playlist for Editing’ button.

You may then insert your voice tracks into the playlist as you would any normal playlist. You can move items around, use the segue editor and even add fresh audio that is not in the radio station database. Just make sure when you add the new audio it begins with your VT Prefix otherwise it will not transfer.

Once finished click ‘Save’.

Professional users of PlayoutONE RVT will have the transfer of voice tracks automatically handled.

Standard users will need to click the ‘Run’ button to transfer the audio and playlists back to the radio station.

RVT - PLAYLIST

If a playlist is not available, the RVT icon within PlayoutONE will flash red, and you will see the name of the playlist in the failed requests box. This means the radio station did not have the playlist available to send to you to voice track.

Sending Now Playing Data To Shoutcast

Ensure that you have ticked the appropriate types to output to your billboard file.

Click the Paper Clip from the top menu bar within PlayoutONE to open the Type Manager.

Tick the billboard box next to the types you wish to output onto the billboard file.Type Manager

Select the billboard file (select the simple billboard file if you are streaming to a Shoutcast V1 server) in Live Stream.

You should then see the title and artist appear in Shoutcast.

Importing External News Into PlayoutONE

As is generally the case these days, news bulletins and other files are delivered by dropbox as a single file (usually called news.wav). To make it easy to import these files into PlayoutONE, we’ve written a custom batch file script that can be downloaded below and edited for your own needs. It’s very much self explanatory, and once you’ve edited it, save it, and schedule it in windows scheduled tasks to run as often as you want!

The batch file has 4 editable parts:


Dropbox Folder (or source folder for your audio file).

It’s import here to note that when you pate the path of the folder, do not include the trailing back slash. E.g. C:\Chris\Dropbox not C:\Chris\Dropbox\

Again like the Dropbox Folder, do not include the trailing backslash

 

File to Import From Within The Dropbox Folder
Usually news.mp3 (note the extension as you will need this in the next part)

 

Cart Number To Import Into PlayoutONE

PlayoutONE Crashes When I Disconnect From My Virtual Server Via RDP

When connecting to your Virtual Server you find that PlayoutONE runs fine when you are connected however, when you disconnect – it crashes. The reason for this is because you are telling PlayoutONE to use the RDP sound card – which is only active when you are connected. Therefore when you disconnect, you are taking away PlayoutONE’s sound device.

To fix this issue you need to:

  1. In your RDP client set sounds set to play on the virtual server rather than your local PC.

  2. If when you do this, you then don’t appear to have a sound device (red cross over the windows speaker icon in the system tray) then you will need to install Virtual Audio Cables or something similar to emulate a sound device.

Using Station Playlist Creator With PlayoutONE

You can use Station Playlist Creator to schedule a basic music log for PlayoutONE to use. To do this you need to make sure that the OTHER field on each station playlist song, contains the PlayoutONE cart number:

Next set the following in the Playlist Format:

Separate Playlist For Each: Hour
Filename Format: yymmddhh”.dpl”
Playlist Format: %O%bTRUE%b-1%b-1%b-2%b-2%b%O
Break Note Format: %bTrue%b0%b0%bTrue%bNote:&t%bfalse

Reset Or Transfer PlayoutONE License To Another Computer

Sometimes you may need to reset your license when upgrading PlayoutONE or you may wish to move the installation to another machine. The following steps will show you how to do this.

WARNING: This will disable your version of PlayoutONE.

 

Go into the settings window by clicking the COG in the top right hand corner of the main PlayoutONE window.

Once in the settings window, click the LICENSE button in the lower left.

Then click the RESET REQUEST button.

You will then be notified by email once the reset has taken place, allowing you to register another copy of PlayoutONE on another computer.

How To Open Another Playlist In The Future For Editing

Sometimes you may need to open up another playlist whilst the current hours playlist is in use.

To open another playlist, complete the following steps

First right click in the playlist window and choose ‘Open Playlist Creator’

Once the Playlist Creator window has opened, you can then load a playlist by Date or File by choosing the calendar or file button on the top of the window.

Once finished with your playlist make sure you click save!

It’s important to note that once the playlist loads in the main playlist window – it then can not edited it from the playlist creator window, only from the main playlist window.

Connecting PlayoutONE With Other Machines On Your Network

If you have more than one studio or want to share one PlayoutONE database with other PlayoutONE installations on your network then follow the steps below. Please note that each PC must have it’s own PlayoutONE license. You also need to choose which PC will be the MASTER. The master machine must remain turned on and connected to the network for other machines to use the shared Database & Audio.
Step1: Choose which PC is going to be the master PlayoutONE machine. This may be a server or a PC. Go to your main PlayoutONE folder (usually C:\PlayoutONE) and make sure you share the folder.

To do this:

  • Right click on the PlayoutONE folder
  • Click Sharing Tab
  • Click Advanced Sharing
  • Tick the ‘Share This Folder Box’
  • Click Permissions button,
  • Make sure all three boxes are ticked under ‘Everyone’
  • Apply changes, and click OK on all remaining windows.

 

Step2: Open PlayoutONE on the master machine, navigate to the PlayoutONE settings.

Change the Data, Audio & Playlists Path from C:\Playoutone to \\MASTER-MACHINE-NAME\Playoutone.

You can find out what your master machine name is by right clicking on ‘MY COMPUTER’ from the windows desktop, and choosing properties

Step3: Open PlayoutONE on the master and verify you can play audio and load playlists.

Step4: On each other PC go to the PlayoutONE settings and alter the Data, Audio & Playlists Path so that they match with the master settings.

Step5: Close PlayoutONE and re-open for the new settings to be applied.

Running Multiple Copies

Sometimes it may be useful to run multiple copies of a program to achieve different results or have different settings. The following PlayoutONE suite of programs allow you to run multiple copies under different profile names:

  • Remote Voice Tracker
  • Monitor
  • Live StreamV2
  • Auto Importer

To achieve multiple copies you simply need to follow the instructions below:

  1. Make a new shortcut to the program you want to run more than once. To do this just find the original shortcut and copy and paste it again on the desktop.
  2. Right click on the shortcut and add the following switch to the end of the target box. /profile:XXX

  3. Remember to leave a SPACE between the .exe and /profile:XXX
  4. Swap the XXX for something meaningful e.g /profile:2 or /profile:normalise

  5. Click ok.
  6. Rename the shortcut so you know which profile it is going to run.
  7. Run the program

Reset PlayoutONE Trial

If you would like to extend your PlayoutONE v2 trial then follow the steps below. *

1) Run the P1LicExtender.exe from C:\PlayoutONE

2) When the program opens, you will be presented with a long seed code.

3) Please email the seed code to support at playoutone.com and leave the P1LicExtender running until you receive back the reset key via email. If you close the P1LicExtender then the reset key will not work and you will need to run this process again.

4) When you receive the reset key back via email, paste it into the reset key box. You can then click set.

5) Run PlayoutONE and you should then receive a further 21 days trial.

*Customers can achieve 1 reset per installation.

PlayoutONE AutoDJ

The PlayoutONE AutoDJ is not to be confused with your traditional music scheduling packageAutoDJ. Whilst a regular scheduling package creates hourly logs based on clocks, the AutoDJ in PlayoutONE works on a ‘template’ system and builds playlists on the fly. How many items it schedules ahead is based on the following settings:

Items To Keep On The Playlist
This settings can be found under the playlist tab in the main settings. By default this is set to 10 items. AutoDJ will schedule at least 10 items upon startup and then schedule a new item once one starts playing, ensuring you always have 10 items on the playlist at any one time.

Don’t Rotate
This setting can be found on the toolbar in the AutoDJ Configuration window. When checked, the AutoDJ system will build the WHOLE template at the start of the hour / upon activation. It then won’t add anymore items to the playlist until the next AutoDJ template is activated either manually or at the top of the hour (if using the calendar function to schedule different templates for different hours)

Enabling this setting allows you to build your template in the more traditional clock method – telling AutoDJ everything to schedule in the hour at once from the start. It also allows you then to use Time Markers as they will be scheduled on the playlist from the start, rather than appearing as the template plays items.

Minimum Separation

Minimum separation can be set on any type by setting them in the Type Manager.

Daylight Savings With PlayoutONE

To deal with Daylight Savings In PlayoutONE following the guide below:

  • Remove all Time markers and RunToTime commands in the 01 and 02 o clock hours – just to be safe!
  • When we gain an hour in the Autumn the clocks go back to 01:00:00 at 01:59:59. Therefore your Music Scheduling software should create two hours worth of content in the 0100 playlist. PlayoutONE will then happily play the contents of the 0100 playlist as normal.
  • When we loose an hour in the Spring, the clocks jump from 01:59:59 to 03:00:00. Therefore your Music Scheduling software should not schedule a 02:00 playlist. This allows PlayoutONE to skip over the 02:00:00 naturally.

Sending Meta Data to Live365

Follow the instructions below to send Now Playing Meta Data to Live365

1. Make sure that you have the latest version of PlayoutONE installed.

2. Ensure that you have set your song types in the type manager to output to the billboard file. You can find the type manager by clicking the Paperclip from the expandable menu in the top left hand corner of PlayoutONE.

3. Ensure that you have the following script setup in your Billboard script.
%%ARTIST_CUR%% – %%TITLE_CUR%%
Please note that there is a space either side of the hyphen.

4. In your Streaming Encoder, ensure you have selected billboard.txt as your now playing file. This is usually located in C:\PlayoutONE\Data unless you’ve altered it.
